Candidate Privacy Statement

This policy is effective from 5th Sept 2016.

This privacy statement describes how we handle and protect your candidate data during our application and recruiting process. This statement explains:

  • What information we collect;         

  • Why we collect it;

  • How we use that information;       

  • How to access and update that information; and

  • Security and confidentiality

By submitting your CV and candidate data to us, you confirm that:

  • You have reviewed this statement and agree that we may process your data in accordance with this statement;

  • You have obtained all consents from referees and/or previous employer(s) before providing their personal information to us; and

  • Your data may be transferred and processed worldwide for our recruiting process, and some other countries may not be deemed to provide the same level of data protection as your home country.

  • We will process your Candidate Data in accordance with this statement, unless in conflict with requirements of applicable law, in which case applicable law will prevail.

Ifyou do not agree to this privacy statement, please do not continue with the job application. Failure to submit or make available your Candidate Data may affect your ability to apply for or receive an offer of employment. This statement does not form part of your employment contract.

    Types of Information We Collect

    During your application and recruitment process, you will share with us, and/or we may acquire the following information including:

    • Your name, address, email address, telephone number and other contact information;

    • Your resume or CV, cover letter, previous and/or relevant work experience or other experience, education, transcripts, or other information you provide to us in support of an application and/or the application and recruitment process;

    • Information from interviews and phone-screenings, if any;

    • Details of the type of employment you are or may be looking for, current and/or expected salary and other terms relating to compensation and benefits packages, willingness to relocate, or other job preferences;

    •  Any sensitive and/or demographic information such as gender, citizenship and/or nationality, medical or health information and/or your racial or ethnic origin;

    • Reference information and/or information received from 3rd parties background checks (where applicable); and/or

    • Information relating to any previous applications you may have made to En-trak and/or any previous employment history with En-trak.

    How We Use Information We Collect

    Your information will be used to assess your skills, qualifications and interests against our career opportunities, which includes:

    • Verifying your information and carrying out reference and/or background checks (where applicable) if you are offered a job;

    • Communications about the recruitment process and/or your application(s), including, in appropriate cases, informing you of other potential career opportunities at En-trak;

    • Creating and/or submitting reports as required under any local laws and/or regulations, where applicable;

    • Assisting you with obtaining an immigration visa or work permit where required;

    • Making improvements to En-trak’s application and/or recruitment process; and/or

    • Complying with applicable laws, regulations, legal processes or enforceable governmental requests.

    If you are offered and accept employment with us, the information collected during the application and recruitment process will become part of your employment record.

    Who May Have Access to Your Information

    Your information may be shared with our affiliates, subsidiaries or joint ventures worldwide. If you have been referred for a job at En-trak by one of our current employees, with your consent, we may inform that employee about your application progress and outcome.

    We may also engage 3rd party service providers to conduct verification / background checks acting on our behalf. These service providers may be located outside the country in which you live or the country where the position you have applied for is located.

    In some cases, we may be ordered to disclose your information to external third parties such as local labor /tax authorities, courts and tribunals, regulatory bodies and/or law enforcement agencies for the purpose of complying with applicable laws and regulations, or in response to legal process.

    Security and Confidentiality

    We will do our best within reasonable means to protect the integrity, confidentiality, security and availability of your data using procedural, technical and organizational measures, and to comply with applicable legal requirements for information security.  Only En-trak authorized personnel with legitimate business purpose can access our internal systems that hold your Candidate Data.

    Updating Your Information

    We may retain your information to consider you for other jobs at En-trak which you may be interested in, in the future. If you do not want us to retain your information, or will like to update it, please contact Please note, however, that some information may be retained if required by law.

    Changes to This Policy

    We will update this policy regularly and changes will be reflected on this page. Each version of this policy is identified at the top of the page by its effective date.
